# AI 帮你写第一份工作总结

> 本篇面向最怕写总结、一提笔就空白的办公小白。学完你可以用 AI 把脑子里零散的几句话，变成一份"开头 / 工作回顾 / 主要成果 / 不足与改进 / 下一步计划"结构齐全的总结初稿。

## 一、痛点引入：一提笔就空白，怎么办？

快到季度末、年底了，领导甩来一句："写份总结吧。"你打开空白文档，光标闪了十分钟，只憋出一句"在领导的关心下，我努力工作……"然后就卡住了。

常见的三个卡点：

- **脑子里有货，笔下没词**：你其实做了不少事，但不知道怎么组织成"像总结的话"。
- **怕写得不像话**：要么全是"圆满完成、成效显著"这种套话，要么干巴巴像流水账。
- **一写就长，收不住**：要么两行就写完了，要么写到三千字还在原地打转。

这课的思路很简单：**你负责给"素材"（你做了啥、有啥结果），AI 负责把素材"织"成一篇像样的总结。** 你不开头编，AI 也不替你编数字。

## 二、目标产出：你要拿到什么

跟着做完，你会得到一份**工作总结初稿**，包含五个固定板块：

1. **开头**：一两句话点明时间范围、岗位、总体基调。
2. **工作回顾**：本阶段都干了啥，按条说清楚。

注意，是"初稿"不是"终稿"。AI 写出来的东西，数据要你核对、占位要你替换、语气要你顺一遍，最后才是能交出去的定稿。

AI 第一版出来后，往往还是有点"端着"。别急着用，再发一条指令让它打磨：

## 1. Pain Points: Going Blank at the First Line — What to Do?

Quarter-end or year-end is approaching, and your boss drops a line: "Write a summary." You open a blank document; the cursor blinks for ten minutes, and you only squeeze out one line — "Under the leader's care, I worked hard…" — and then you're stuck.

Three common sticking points:

- **You have material in your head but no words on the page:** you've actually done a lot, but don't know how to organize it into "summary-style language."
- **Afraid it won't sound right:** either it's all clichés like "fully completed, remarkable results," or it's dry and reads like a daily log.
- **Once you start, you can't stop — or can't get going:** either it's done in two lines, or you're still going in circles at three thousand words.

The idea of this lesson is simple: you're responsible for the "material" (what you did, what results you got), and AI is responsible for "weaving" that material into a presentable summary. You don't fabricate the opening, and AI doesn't make up numbers for you.

## 2. What You'll Get: What You'll Walk Away With

By following along to the end, you'll get a first draft of a work summary containing five fixed sections:

1. **Opening:** one or two sentences that state the time period, your role, and the overall tone.
2. **Work Recap:** what you did during this period, laid out point by point.
3. **Key Achievements:** pick out the most impressive results, ideally with numbers.
4. **Shortcomings & Improvements:** honestly write 1–3 weaknesses, each paired with a direction for improvement.
5. **Next Steps:** what you plan to do in the next period.

Note that this is a "first draft," not a "final draft." What AI produces needs you to verify the data, replace placeholders, and smooth out the tone — only then is it a deliverable final version.

## 3. Hands-On Case Study: Follow Along

Let's walk through a realistic example. Suppose you work in marketing operations at a company and need to write a work summary for Q3 2025.

### Step 1: First List 5–8 Scattered Points (You Provide the Material)

Don't rush to have AI write it. First, grab a piece of paper or a notes app and list what you did and the results you produced this quarter as plain-spoken bullets. This step is the most critical: AI won't take the blame — you provide the data, and it only handles layout and polishing.

Example bullets (you can directly use this format to write your own):

1. Responsible for the company's official account operations; published 24 posts this quarter, with average reads rising from 800 to 1,500.
2. Organized two offline events, with a cumulative attendance of 120 people and 30 on-site conversions to prospective customers.

**Key point:** Try to include real numbers in your bullets. If you don't have exact figures, write "about / roughly / approximately," but don't leave blanks for AI to fill in randomly.

### Step 2: Open WPS Writer / Word and Hand the Bullets to AI

Open WPS Writer (or Word), then use AI-assisted writing. Either of the two tools works:

- **WPS AI:** In WPS Writer, click "WPS AI" at the top → "Help Me Write" → "Work Summary," then paste your bullets into the input box.
- **ERNIE Bot (web or app):** Simply start a new chat and send the bullets together with your instructions.

Whichever you use, give it a prompt. The following can be copied directly:

**Key point:** Your prompt must say "keep the numbers exactly as given, do not fabricate them." This is the first lock against AI adding "extra drama" for you.

### Step 3: Generate the First Draft, Then Have It Rewrite with "Quantify + Bullet + Drop the Clichés"

After AI's first version comes out, it's often still a bit "stiff." Don't rush to use it — send one more instruction to polish it:

> **Instruction:** Please do three things to the draft above: 1) quantify achievements as much as possible — use numbers wherever you can, and avoid vague phrases like "significantly improved"; 2) rewrite the "Key Achievements" section as bullet points, each starting with a one-sentence conclusion followed by one specific explanation; 3) remove clichés like "under the leader's care," "fully completed," and "remarkable results," keeping it natural and like something a real person wrote. If the length is too long or too short, you can add: keep the whole thing around 800 words — trim if it's too long, add a transition sentence if it's too short.

**Key point:** Explicitly write "drop the clichés" into your instruction. AI defaults to a bureaucratic tone; if you don't call it out, it'll hand you a pile of "under the…"

### Step 4: Paste into Word / WPS Writer and Apply Heading Styles

Copy the AI-polished draft (treat it as a half-finished product for now) back into your WPS Writer / Word document. Next, do something useful for later: apply **Heading styles** to the five sections.

*Quick explainer:* Heading styles = preset formats in Word / WPS with defined font size, bold, and hierarchy. When you apply "Heading 1" to a line, it becomes a top-level heading; apply "Heading 2" and it becomes a second-level subheading. The benefit: once the whole document is written, one click auto-generates a table of contents, and your boss can flip through it clearly.

**Steps:**

1. Select the "Opening" line → in the "Styles" area of the **Home** tab, click **Heading 1**.
2. Select the four lines "Work Recap / Key Achievements / Shortcomings & Improvements / Next Steps" → click **Heading 2**.
3. (Optional) Leave body paragraphs in the "Normal" style — no need to change them.

**Key point:** Don't skip heading levels (e.g., applying Heading 1 straight to body text). Level one governs big sections, level two governs subsections — only then does the table of contents look right.

### Step 5: Verify the Data Yourself, Replace Placeholders, Finalize

AI may occasionally use placeholders like "[add specific data here]," or write your "about 600" as "600." This step must be done by you:

- **Check the numbers one by one:** compare against the bullets you wrote in Step 1 to see if AI altered or omitted anything.
- **Replace placeholders:** anything inside `[ ]` or `< >` should be swapped for your real content, or deleted entirely.
- **Smooth out the tone:** rewrite any awkward sentences that don't sound like you into your own voice.
- **Apply the company template (if any):** many companies have a fixed summary template; just move the content into the template's corresponding spots.

**Key point:** Always read through it yourself before finalizing. What bosses fear most is seeing "according to incomplete statistics, this year a number of tasks were completed" — sentences that reek of AI at a glance. Change those and you win.

## 4. Principle Recap: Why "Give Bullets First, Then Let AI Expand" Is More Reliable

What happens if you just tell AI "help me write a quarterly summary"? Without your real data, it can only fabricate based on the "generic summaries" it saw in training — producing things like "completed 5 million in sales" or "led a team of 20" that you never said and that never happened. That's fabrication. The division of labor in "you list bullets first, then AI expands" keeps ownership of the material in your hands: you provide what you did and the numbers you have; AI only strings your fragments together following official-document logic, polishes the tone, and fills in transition sentences. In one line — you provide the facts, AI provides the expression; each handles its own part, so you lose neither your truth nor your mental energy. This is also the underlying principle for all AI-assisted official-document tasks later on.

## 5. Pitfall Guide

1. **AI fabricating data / achievements:** never let it "fill in a number to round things out." Numbers come only from the bullets in your Step 1; state in the prompt "do not fabricate."
2. **Runaway length:** without a word limit, AI might give you two thousand words or two hundred. State "about 800 words" directly in the prompt, and tell it to trim if it's too long.
3. **Clichés everywhere:** AI defaults to writing "under the leadership of…" and "fully completed." Name "drop the clichés, write like a real person" in your instruction, then scan and delete them once generated.
4. **Submitting as-is and getting caught by your boss:** AI first drafts often contain placeholders and empty phrases like "according to incomplete statistics" and "a number of items." Submit without editing and your boss sees through it instantly — costing you points instead.
5. **Ignoring your company's summary template:** some companies have a fixed format (even specific forms to fill). Ask whether there's a template before you start; filling the template is safer than free-styling.

## 6. Going Further
