## 1. Who Is This For? What Problem Does It Solve?

This asset is for **office beginners who go blank the moment they need to write a summary** — your head is full of scattered points, but you don't know how to organize them into "summary-style language." The template and example in this folder teach you to use a **5-section structure** (**Achievements / Shortcomings / Reflection / Next-Period Focus / Resource Needs** + an Opening paragraph) to turn scattered material into a presentable summary.

Core method: **you provide the material (what you did, what results you got), AI weaves it into presentable prose.** You don't fabricate the opening; AI doesn't make up your numbers. The templates are drop-in; the prompts are copy-paste; the five scenarios (Weekly / Monthly / Project / Quarterly / Yearly) all come with ready-to-use prompts.

If you've already read the main tutorial `B5_工作总结_双语.md` (English section), this folder is the **hands-on version** — `WorkSummary_Template_en.md` is the skeleton; `WorkSummary_Example_市场部小李_2026Q3.md` is a complete worked example.

## 2. How to Use (5 Steps to Your First Summary)

### Step 1: Pick the template, copy it, rename it

Open `WorkSummary_Template_en.md` in this folder and **copy it** into your working directory; rename to `WorkSummary_<YourName>_<Period>.md`. Example:

```
WorkSummary_LiZhang_2026Q3.md
```

### Step 2: List 5–8 scattered bullets (you provide the material)

In another document or phone notes app, write in plain language:

```
1. Published 24 posts this quarter; average reads rose from 800 to 1,500.
2. Organized 2 offline events with 120 attendees and 30 on-site leads.
3. Built 8 WeChat groups from zero (~600 members), engagement is average.
4. Did 3 design-support tasks for the sales team's event materials.
5. Helped reorganize website content; sorted through 40+ old copies.
6. Time management is weak; firefighting is frequent.
7. Data analysis skills still need improvement; rely mostly on intuition.
```

**This step is the most critical**: numbers come only from your bullets; AI never invents them.

### Step 3: Pick a scenario prompt (1 of 5) and send it to AI

Open the template file and find Section 5 (Weekly / Monthly / Project / Quarterly / Yearly); copy the prompt and paste your bullets into it.

The most common (Quarterly) prompt looks like:

```
Based on the bullets below, please write a personal work summary for
[Q3 2026]. Requirements:
- Tone: formal but natural; no empty bureaucratic clichés.
- Total: about 800 words.
- Structure must include five sections — Opening, Work Recap, Key
  Achievements, Shortcomings & Improvements, Next Steps.
- Keep the numbers in the bullets exactly as given; do not fabricate
  or alter them.
My bullets:
1. …
2. …
```

### Step 4: Use the AI Rewrite Prompt to polish the draft

After AI's first version, send the "drop clichés + quantify + bullet structure" prompt from Section 6 of the template:

```
Please do three things to the summary above:
1) Quantify achievements wherever possible — use numbers, avoid vague
   phrases like "significantly improved";
2) Rewrite the "Key Achievements" section as bullets;
3) Remove clichés such as "under the leader's care," "fully completed,"
   and "remarkable results" — keep it natural and like a real person wrote it.
Keep the total around 800 words.
```

### Step 5: Paste into Word / WPS Writer, apply heading styles, finalize

1. Paste the polished draft into **Word / WPS Writer**.
2. Select each section title → apply **Heading 1 / Heading 2 / Heading 3**.
3. **References → Table of Contents → Automatic Table 1** for an instant TOC.
4. **Read it once yourself**: verify all numbers, replace placeholders, rewrite any sentences that don't sound like you.

> ⚠️ **Don't skip this step.** AI first drafts often contain placeholders and empty phrases like "according to incomplete statistics" and "a number of items." Submit without editing and your boss sees through it instantly.

## 4. Template Structure at a Glance

```
# Work Summary — [Name] [Period]    ← Heading 1
> Role / Period / Date / Use case   ← meta block
## 1. Opening (1 paragraph)         ← Heading 2
## 2. Achievements (numbers + bullets) ← Heading 2
  ### 2.1 [Key Initiative A]         ← Heading 3
  ### 2.2 [Key Initiative B]
  ### 2.3 [Key Initiative C]
## 3. Shortcomings (1–3 honest items) ← Heading 2
## 4. Reflection (the "why")         ← Heading 2
## 5. Next-Period Focus (≤ 5 items)   ← Heading 2
## 6. Resource Needs (people/budget/training/cross-team) ← Heading 2
```

| Section | Word style | What to write | Word count |
|---------|-----------|---------------|------------|
| Opening | Heading 2 | Period + role + overall tone | 80–150 |
| Achievements | Heading 2 (with Heading 3 sub-items) | 3–5 results with numbers | 250–400 |
| Shortcomings | Heading 2 | 1–3 weaknesses + manifestation + impact | 150–250 |
| Reflection | Heading 2 | "Why" + next-step direction per shortcoming | 100–200 |
| Next-Period Focus | Heading 2 | ≤ 5 items, each with action + measure | 150–250 |
| Resource Needs | Heading 2 | People / Budget / Training / Cross-team | 80–150 |

## 5. Quick Reference — Five Scenario Prompts

| Scenario | Frequency | Where in template | Word target |
|----------|-----------|-------------------|-------------|
| **Weekly** | Every Friday | `WorkSummary_Template_en.md` Section 5, Scenario 1 | ~300 words |
| **Monthly** | End of month | Section 5, Scenario 2 | ~600 words |
| **Project** | After project end | Section 5, Scenario 3 | ~1,200 words |
| **Quarterly** | End of quarter | Section 5, Scenario 4 | ~800 words |
| **Yearly** | End of year | Section 5, Scenario 5 | ~1,500 words |

> Every scenario prompt contains three required elements: **word target + structure requirement + "keep numbers exactly as given"**. Just copy and send.

## 6. Real Example Snippet (style reference)

From `WorkSummary_Example_市场部小李_2026Q3.md`, the Achievements section:

```markdown
## 2. Achievements
### 2.1 Official-Account Operations
- **Headline (one sentence)**: Average reads per post grew 87.5% quarter over quarter.
- **Specific numbers**: 24 posts; average reads went from 800 to 1,500; single-post peak 3,200.
- **Key actions**: Shifted content angle from product-led to user-story-led; fixed 2 long-form posts + 5 short posts per week.
### 2.2 Offline Events
- **Headline**: Both offline events generated on-site leads; over-achieved the "≥20 leads" target.
- **Specific numbers**: 120 attendees (65 + 55); 30 on-site leads; 25% conversion rate.
- **Key actions**: Invited 3 industry KOLs; added a prize-draw; pushed user-persona messages 7 days in advance.
```

> **Three-element pattern**: each achievement = "headline + numbers + actions." This lets your boss **see the result in one glance**, then optionally read the process — far friendlier than "I did ABCDE…" walls of text.

## 7. FAQ / Pitfall Guide

1. **AI fabricates data / results**
   Never let AI "fill in a number to round things out." Numbers come only from your Step-2 bullets. State "do not fabricate" in the prompt. **This is the #1 lock for AI-written official documents.**

2. **Runaway length (either 200 or 2,000 words)**
   Specify a target like "around X words" in the prompt. AI doesn't naturally extend short tasks, but it does trim long ones — so a second "trim it down" round is often needed.

3. **Clichés everywhere ("under the leadership of…" / "fully completed")**
   Tell AI explicitly "drop the clichés, write like a real person." List the phrases you want removed in the rewrite prompt; AI listens better when you name names.

4. **Submitting the AI draft as-is and getting caught**
   AI first drafts often contain placeholders and empty phrases. **Never submit without editing.** Always run the full six-step pipeline: AI draft → verify numbers → replace placeholders → smooth tone → apply styles → generate TOC.

5. **Ignoring your company's fixed template**
   Some companies have rigid formats (even specific forms). Ask before you start; **filling the template is safer than free-styling.**

6. **My auto-generated TOC is missing some H2s**
   Check whether each line really has the **Heading 2** style applied (not just bold formatting). Manual bolding only changes the look; it's not a "heading" and TOC won't pick it up.

## 8. Where to Go Next

- **B6 Long-Document Structuring**: When you need to write dozens of pages — project reports, proposals — learn the four-piece set: heading styles + auto TOC + multi-level numbering + cross-references.
- **B7 Mail Merge for Batch Notifications**: Summary season also means sending personalized notices ("Classmate XX, please submit by date X"). Use Word mail merge to batch-generate hundreds of letters.
- **A3 Prompt Engineering for Beginners**: To get AI drafts right the first time, learn the three-element pattern: field list + sample + output format.
